1st Financial Building Corporation of Canada An Office / Project Administrator is required by 1st Financial Building Corporation of Canada, a full service, self-sufficient affiliate of NewGround with offices in Chicago, IL; St. Louis, MO; San Francisco, CA; Atlanta, GA and Portsmouth, NH. NewGround is a leading international design / implementation firm serving the financial services industry. The company�s offering includes design, construction management, branding strategies, print and multimedia merchandising, retail rollout campaigns and employee development programs. We have an immediate need for a highly-motivated Office / Project Administrator to contribute to our growth. The Office / Project Administrator is responsible for the overall smooth operation of the administrative functions in our office. RESPONSIBILITIES: Construction duties include performing contract administration from contract award through performance, contract completion and closeout. Review and execute contractual documents, to include contracts, modifications, and various agreements. Receive, review, and respond to solicitations and Requests for Proposals. Work closely with our team to develop accurate cost estimates and effective proposals. Act as company point of contact for all official correspondence with our clients on assigned projects. Work as part of a project team on various projects and participate in team meetings as required. Work with sub trades. Additional duties include working with shop drawings, PO�s, change orders & subcontracts / revisions, invoices, safety forms, monthly invoices, reports and operation manuals. Office Administration duties include answering & transferring calls, handling mail, filing, ordering supplies, organizing events and training, handling architectural invoices, working around trade shows, payroll, etc. Responsible or A/P and A/R. Plan, organize and direct daily operations, establish and implement policies and procedures, assign, co-ordinate and review projects and programs, plan, develop and implement communications strategies, Prepare reports, oversee reports, respond to customer inquiries/complaints, execute internal communication plan, policies and procedures, and interact and communicate with corporate clients QUALIFICATIONS: 5+ years experience in Office and/or Project Administrator capacity. Must be legally permitted to work in Canada. Construction or a related industry highly desirable. You must be capable of maintaining all administrative functions including A/P, A/R, bookkeeping, reception, invoicing, bank reconciliation, payroll and various reports. Must be computer/software savvy. Proficient in MS Excel, Word and Outlook. You will be responsible for learning to work with Timberline, MS Project and Spitfire project management software. Experienced in managing multiple projects simultaneously. Must have a positive friendly attitude and have excellent organizational skills. Ability to adapt in a challenging, changing environment of approximately 12 employees and to think creatively. Must be customer driven. Insurance experience is preferred. Excellent written and verbal communication skills. Fluent in English. Degree preferred.
